2.2 Booking and lesson information

- Information relevant to arranging suitable instruction.

2.3 Payment and financial records
We may retain payment confirmations, transaction references, invoices and refund records. Card details should be handled by the relevant payment provider and should not be retained by us unless there is a lawful and secure reason to do so.
2.4 Website and technical information
When you visit our website, we or our service providers may process technical information such as IP address, browser type, device information, pages visited and website interaction data.
Cookies and similar technologies will be used in accordance with our cookie arrangements and applicable law. Non-essential analytics or advertising cookies will not be activated before the appropriate consent has been obtained where required.
2.5 Dashcam recordings
Where a dashcam is installed and recording, it may capture:
- Road conditions, vehicles, pedestrians and other road users.
- The vehicle's occupants, where the camera's field of view includes them.
- The date, time and location associated with an incident, if the equipment records this information.
- Audio, but only if an audio-recording function is separately enabled for a documented and justified purpose.
Our intended default is to keep audio recording disabled. We will not enable continuous audio recording unless we have established and documented a specific lawful justification and provided appropriate additional privacy information.
3. Why we use personal information
We use personal information only for specified and legitimate purposes, including:
- Responding to enquiries and arranging driving lessons.
- Managing lesson schedules, attendance, progress and communications.
- Checking that the learner is appropriately licensed to receive instruction.
- Processing payments, invoices, refunds and accounting records.
- Managing complaints, disputes, accidents and insurance matters.
- Protecting the safety of learners, instructors and other road users.
- Investigating specific incidents where relevant evidence is needed.
- Maintaining and improving our website and services.
- Complying with legal, regulatory, insurance and tax obligations.
- Sending optional marketing communications where the applicable requirements have been met.
We will not use learner information for an unrelated purpose that is incompatible with the purpose for which it was collected.
4. Our lawful bases for processing
We rely on the lawful basis appropriate to the particular processing activity.
Contract: To respond to a booking, arrange lessons, manage payments and deliver the services requested.
Legitimate interests: To manage our business, maintain appropriate records, protect our vehicles and instructors, investigate relevant incidents and defend legal claims, where these interests are not overridden by an individual's rights and freedoms.
Legal obligation: To comply with applicable legal, accounting, tax or other statutory requirements.
Consent: Where consent is the appropriate legal basis, including certain marketing activities and optional processing for which consent is required.
We will assess and document our legitimate interests where applicable. We will not assume that consent is necessary for every processing activity or use legitimate interests as a blanket justification for all processing.
5. Dashcam recordings and privacy
Our dashcam arrangements are intended to support road safety, incident investigation, insurance claims and the protection of learners and instructors.
Where recordings contain identifiable individuals, they may constitute personal data and will be handled accordingly.
We will:
- Use cameras for specified purposes and avoid unnecessary recording.
- Provide appropriate information about recording, including notices in the vehicle and information in this policy.
- Restrict access to recordings to authorised individuals.
- Disable audio recording by default unless a separate, documented justification supports its use.
- Retain footage only for as long as reasonably necessary.
- Review requests for footage and disclosures carefully, taking account of the rights of other people shown or heard in a recording.
- Avoid using lesson footage for publicity, social media or promotional purposes without obtaining the necessary separate permissions.
We will not treat permission to take a driving lesson as blanket consent to publish or use a learner's image or voice for advertising.
Further details appear in Part 4 of this policy pack.
6. Who we share personal information with
We may share relevant information with trusted third parties where necessary, including:
- Website hosting and booking system providers.
- Email, telephone and messaging service providers.
- Payment processors and accounting providers.
- Insurers and claims handlers.
- Legal advisers and professional advisers.
- Law enforcement, courts or public authorities where required or lawfully justified.
- Relevant parties involved in resolving an accident, complaint or legal claim.
We will share only the information reasonably necessary for the relevant purpose.
We do not sell learners' personal information to third parties.
Where service providers process information on our behalf, we will take appropriate steps to ensure suitable data protection and security arrangements are in place.
7. International transfers
If any service provider stores or accesses personal information outside the United Kingdom, we will assess the transfer and implement an appropriate lawful transfer mechanism and safeguards where required by applicable data protection law.
Details of relevant providers and transfer safeguards can be requested using our contact details below.
8. How long we keep personal information
We keep personal information only for as long as necessary for the purpose for which it was collected, including applicable legal, accounting and claims requirements.
Our intended retention schedule is:
- Enquiries that do not lead to a booking: normally up to 12 months after the last meaningful contact.
- Learner booking and lesson administration records: normally up to 24 months after the last lesson, unless a longer period is justified.
- Financial and tax records: for the applicable statutory retention period, which will generally be at least six years for relevant company accounting records where that requirement applies.
- Dashcam footage without an incident: automatically overwritten or deleted as soon as reasonably practicable, with a target maximum of 30 days.
- Dashcam footage relating to a specific accident, complaint or claim: retained only for as long as needed to investigate, resolve or defend that matter, subject to applicable limitation periods and other legal requirements.
- Marketing preferences and suppression records: retained as needed to demonstrate consent, manage preferences and ensure that people who opt out are not contacted again.
These periods are intended as a working schedule, not a reason to retain every record for the maximum period. We will delete or anonymise information sooner when it is no longer required.
Where a legal hold, insurance matter or active dispute applies, relevant records may need to be retained for longer. The reason and retention period will be reviewed.
9. How we protect personal information
We use reasonable technical and organisational measures to protect information from unauthorised access, loss, misuse, alteration or disclosure.
These measures may include:
- Password-protected systems and restricted access.
- Secure storage and appropriate access permissions.
- Secure handling of booking and payment records.
- Limited access to dashcam recordings.
- Appropriate deletion and disposal procedures.
- Reviewing relevant suppliers and data handling arrangements.
No method of electronic storage or transmission can be guaranteed to be completely secure. We will respond appropriately to suspected personal data breaches and make notifications where legally required.
10. Your data protection rights
Subject to applicable legal conditions and exemptions, you may have the right to:
- Access: request a copy of your personal information.
- Rectification: ask us to correct inaccurate or incomplete information.
- Erasure: ask us to delete personal information in certain circumstances.
- Restriction: ask us to restrict processing in certain circumstances.
- Objection: object to processing based on legitimate interests or to direct marketing.
- Data portability: receive certain information in a structured, commonly used and machine-readable format where the legal requirements apply.
- Withdraw consent: withdraw consent at any time where processing relies on consent. This does not affect the lawfulness of processing before withdrawal.
- Complain: raise concerns with the Information Commissioner's Office (ICO).
These rights are not absolute and may be subject to legal exceptions.
To exercise a right, contact us at info@sloughdrivingschool.co.uk. We may need to verify your identity before responding.
We will respond within the applicable statutory time limit.
11. Dashcam footage requests
You may request access to personal data contained in dashcam footage in accordance with applicable data protection law.
When responding, we may need to protect the rights and freedoms of other identifiable individuals. This may require redaction, blurring, muting or other measures. In some circumstances, disclosure may be restricted or refused where a lawful exemption applies.
Please provide the date, approximate time, vehicle or lesson details, and a description of the relevant incident where possible.
Requests should be sent to info@sloughdrivingschool.co.uk
12. Marketing communications
We may send essential communications about bookings, lesson changes, payments and service administration.
Optional promotional communications will be sent only where the applicable privacy and electronic marketing rules permit them. Where consent is required, we will ask for it separately and will not make access to ordinary driving lessons conditional on agreeing to marketing.
You can withdraw marketing consent or opt out at any time using the unsubscribe facility, where available, or by contacting us.
13. Cookies and website analytics
Our website may use essential cookies needed for the site to function. Non-essential cookies, including certain analytics or advertising technologies, will be managed through an appropriate cookie consent mechanism where required.
A separate Cookie Policy or cookie notice should explain:
- Which cookies and similar technologies are used.
- Their purposes and durations.
- The providers that set them.
- How users can change or withdraw their preferences.
The actual cookie notice must reflect the technologies installed on the website.
14. Children's and young learners' information
Driving lessons may be booked for younger learners. Where a learner is under 18, we will take reasonable steps to provide appropriate privacy information and handle their personal data fairly.
Where a parent, guardian or other person makes a booking, we will clarify whose information is being collected and who is responsible for the booking and payment.
We will not disclose a learner's progress or recordings to a parent, guardian or other person automatically in every circumstance. Any disclosure will be assessed against the learner's rights, applicable law and relevant safeguarding or contractual considerations.
15. Complaints
If you have concerns about how we use your information, please contact us first:
Email: info@sloughdrivingschool.co.uk
Telephone: 07481 218 619
You also have the right to complain to the Information Commissioner's Office.
Website: https://ico.org.uk/make-a-complaint/
16. Changes to this policy
We may update this policy to reflect changes in our services, technology or legal obligations. The latest version will be published on our website with a revised update date.
Where a significant change affects how we process existing learners' information, we will provide additional information where required.
PART 2 — TERMS AND CONDITIONS
1. About these terms
These Terms and Conditions apply to driving lessons and related services supplied by Slough Driving School Ltd.
By making a booking, you agree to the terms that have been provided to you before the booking is confirmed. Nothing in these terms removes any statutory consumer rights.
The contract is between Slough Driving School Ltd and the person purchasing or booking the lessons, subject to any specific written agreement.
2. Our services
We provide driving instruction and related services as agreed at the time of booking.
Lessons are subject to instructor availability, vehicle availability, road conditions and safety requirements.
We cannot guarantee that a learner will pass a driving test, achieve a particular result or become test-ready within a specified number of lessons. Progress depends on individual circumstances, practice, attendance and other factors.
3. Booking and acceptance
A booking is confirmed when we accept it and communicate the relevant lesson details.
The learner is responsible for providing accurate contact details and notifying us of changes.
Where another person pays for the lessons, the learner and payer should understand who is responsible for bookings, cancellations and payment obligations.
Any special conditions relating to lesson packages, introductory offers or block bookings will be communicated before purchase.
4. Prices and payment
The applicable lesson price, duration and payment arrangements will be confirmed before the booking is made.
Unless otherwise agreed in writing:
- Lessons must be paid for by the agreed due date.
- Block-booking payments must be made in accordance with the package terms provided at purchase.
- Any applicable additional charges must be disclosed before the learner commits to them.
- Refunds will be assessed in accordance with these terms and applicable law.
We will not impose undisclosed charges or change an agreed price retrospectively.
5. Lesson packages and prepaid lessons
Where lessons are purchased in advance:
- The package will specify the number and duration of lessons included.
- Any package discount and its conditions will be explained before purchase.
- Unused lessons will be handled in accordance with the booking agreement and applicable consumer law.
- Any deduction for lessons already delivered or a lawful cancellation charge must be fair, transparent and properly justified.
We will not automatically treat every prepaid lesson as forfeited simply because a learner cancels a package.
Any expiry date or other material restriction on a package must be disclosed before purchase and must be fair and lawful.
6. Driving licence and learner eligibility
Learners must hold a valid driving licence or provisional licence appropriate to the instruction being provided.
Learners must meet the applicable legal requirements for driving on public roads and must follow the instructor's safety instructions.
The learner must tell us promptly if their licence entitlement changes, is suspended or revoked, or if anything else affects their legal eligibility to drive.
We may refuse to commence or continue a lesson where the learner is not legally entitled to drive or where proceeding would be unsafe or unlawful.
7. Punctuality and lesson duration
Learners should be ready at the agreed collection point at the scheduled time.
If a learner is late, the instructor will make reasonable efforts to provide the lesson within the remaining booked time, subject to the instructor's schedule and safety.
A late arrival does not automatically entitle the learner to an extension beyond the agreed end time.
If the instructor is late, we will make reasonable efforts to provide the outstanding lesson time or agree an appropriate alternative.
8. Learner cancellations and rescheduling
Proposed standard cancellation notice: 48 hours before the lesson. This period must be confirmed by Slough Driving School before publication.
Learners should cancel or request a change as early as possible by contacting the school through the agreed booking channel.
Where at least the required notice is provided, the lesson will normally be rescheduled or refunded in accordance with the payment arrangement.
Where less notice is provided, a cancellation charge may apply only where the relevant condition was clearly disclosed before booking and the charge is fair, proportionate and lawful.
The charge should reflect the legitimate loss or costs associated with the late cancellation, taking account of any opportunity to rebook the slot. It must not operate as an excessive penalty.
Exceptional circumstances will be considered fairly on a case-by-case basis.
9. Missed lessons and no-shows
If a learner fails to attend without giving the required notice, we may apply the disclosed late-cancellation or missed-lesson charge where lawful and justified.
We will consider whether the instructor attended, whether the time could be reallocated and whether any costs or losses were avoided.
If we cannot reach a learner at the agreed collection point, we will make reasonable attempts to contact them before treating the appointment as missed.
10. Cancellations by the school or instructor
If we cancel a lesson, we will notify the learner as soon as reasonably practicable.
The learner will be offered a suitable replacement appointment or an appropriate refund for the lesson not delivered.
We will not charge a learner for a lesson cancelled by us.
Where an instructor becomes unavailable due to illness, vehicle problems, severe weather or another unexpected event, we will make reasonable efforts to arrange an alternative appointment.
11. Weather, road conditions and safety
Lessons may be postponed or ended where weather, road conditions, vehicle condition or another safety issue makes instruction unsafe or impracticable.
We will explain the reason for the decision and arrange a replacement or appropriate adjustment where the lesson cannot reasonably proceed.
The instructor retains responsibility for making safety-related decisions during the lesson.
12. Learner conduct
Learners must:
- Follow reasonable safety instructions.
- Treat instructors respectfully.
- Avoid abusive, threatening, discriminatory or harassing behaviour.
- Not attend a lesson impaired by alcohol, illegal drugs or any substance that makes driving unsafe.
- Inform the instructor of any relevant issue that may make driving unsafe or unlawful.
Where a serious safety or conduct issue arises, the instructor may stop the lesson. Any payment or refund consequence will be assessed fairly under the booking terms and applicable law.
13. Test bookings and readiness
Unless expressly agreed, learners are responsible for booking their own practical driving test and paying the relevant test fee.
An instructor may advise whether the learner appears ready for a test, but the final decision to proceed with a test remains subject to the learner's circumstances and the applicable rules.
A lesson or vehicle provided for a test is subject to availability, the learner meeting the necessary requirements and the school's safety assessment.
Any test-day vehicle or instructor cancellation conditions must be disclosed separately where applicable.
14. Refunds and complaints
Requests for refunds should be sent to info@sloughdrivingschool.co.uk, stating the booking details and reason for the request.
We will assess the request against the lessons delivered, the booking agreement, the circumstances and applicable consumer law.
If you are dissatisfied with a service, please contact us so that we can investigate and attempt to resolve the issue.
Nothing in these terms limits statutory rights or remedies.
15. Online, telephone and off-premises bookings
Where a booking is made online, by telephone or away from our business premises, consumer cancellation rights may apply.
For many distance or off-premises service contracts, consumers have a 14-day cancellation period. The precise rights and exceptions depend on the circumstances and the applicable legislation.
Where a learner asks us to begin lessons during an applicable cancellation period, we will obtain any required express request and provide the necessary information about the consequences of early performance.
If the learner cancels after requesting early performance, any amount payable for services already supplied will be determined in accordance with the law. The right to cancel does not automatically disappear merely because a lesson has been booked.
Any statutory exception or loss of cancellation right will apply only where the relevant legal requirements have been met.
16. Liability and statutory rights
We will provide our services with reasonable care and skill as required by applicable law.
Nothing in these terms excludes or restricts liability where doing so would be unlawful, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any consumer right that cannot legally be excluded.
Subject to those restrictions, each party remains responsible for the obligations and losses attributable to them under applicable law.
17. Privacy and dashcams
Personal information is handled in accordance with our Privacy Policy.
Where dashcams are used, the arrangements described in Part 4 apply. Learners should read the Dashcam Policy before commencing a lesson.
18. Changes to the terms
Any material change to a learner's existing booking conditions will be communicated appropriately. Changes will not retrospectively remove rights or alter an agreed booking without a lawful basis.
The version applicable to a booking is the version properly incorporated into the agreement at the relevant time, subject to statutory rights.
19. Governing law
These terms are governed by the laws of England and Wales, subject to any mandatory legal rights that apply to the learner.
PART 3 — LESSON BOOKING CONDITIONS
This section is intended to be displayed clearly on the booking page and provided to learners before payment.
1. Making a booking
Please provide your correct name, contact number, email address, preferred lesson time and collection location.
A requested appointment is not confirmed until we have accepted the booking and communicated confirmation.
2. Payment
The price and duration of the lesson will be confirmed before the booking is completed.
Payment must be made using the agreed method and within the agreed timeframe.
Any deposits, prepaid packages or introductory offers must be explained at the time of purchase, including any conditions that apply.
3. Changing or cancelling a lesson
Our proposed cancellation policy is 48 hours' notice. The school must confirm this period before publishing it.
Please contact us as early as possible if you need to change a lesson.
Late cancellation or non-attendance may result in a reasonable, previously disclosed charge where permitted by law. Any charge will be assessed fairly and will not be applied as an excessive penalty.
4. If the instructor cancels
If the instructor cancels, we will offer an alternative appointment or an appropriate refund for the lesson that was not delivered.
5. Arriving on time
Please be ready at the agreed collection point.
Late arrival may reduce the time available for your lesson. Lessons cannot automatically be extended where doing so would affect another learner's booking.
6. Licence and safety requirements
You must have the appropriate valid licence and meet the legal requirements for the lesson.
Your instructor may refuse to start or may stop a lesson if they reasonably believe it would be unsafe or unlawful to continue.
7. Prepaid lesson packages
The package price, number of lessons, duration and any expiry or usage conditions will be provided before purchase.
If you decide not to continue, contact us to discuss the remaining balance. Any refund or deduction will be assessed under the package agreement and applicable law.
8. Dashcam notice
A dashcam may be used during a lesson for road safety, incident investigation and insurance purposes. Recording may capture the road and vehicle occupants.
Audio recording will be disabled by default unless a specific, documented justification supports its use. Further details, including retention and access arrangements, are available in our Dashcam Policy and Privacy Policy.
9. Booking contact details
For booking changes, cancellations or questions:
Telephone: 07481 218 619
Email: info@sloughdrivingschool.co.uk
PART 4 — DASHCAM AND IN-CAR RECORDING POLICY
1. Purpose
Slough Driving School may use an in-car dashcam to support:
- Road safety and the investigation of specific incidents.
- Evidence gathering for relevant insurance claims.
- The protection of learners, instructors and other road users.
- The investigation of complaints, collisions or alleged misconduct.
The equipment will not be used for unrestricted surveillance or for unrelated purposes without an appropriate lawful basis.
2. What may be recorded
Depending on the equipment and its configuration, recordings may include:
- The road ahead or other external views.
- Nearby vehicles, pedestrians and other road users.
- Part of the vehicle's interior and its occupants.
- Date, time and other technical metadata.
- Audio, only where separately enabled and properly justified.
The camera's position and settings should be configured to avoid unnecessary recording of occupants or private areas wherever reasonably practicable.
3. Audio recording
Default setting: AUDIO OFF.
Continuous audio recording of conversations inside a driving lesson can be particularly intrusive because it may capture personal discussions involving the learner and instructor.
Slough Driving School will keep audio recording disabled unless a specific need has been identified, less intrusive alternatives have been considered, and the proposed recording has been documented as necessary and lawful.
If audio recording is exceptionally enabled:
- The reason and lawful basis will be documented.
- Learners will be given clear additional information before recording begins.
- Any required consent or other legal condition will be obtained.
- Recording will be limited to the scope and duration necessary for the stated purpose.
- The setting will be reviewed regularly and disabled when no longer justified.
Agreement to ordinary driving lessons will not, by itself, be treated as consent to continuous audio recording.
4. Information and transparency
Before a lesson begins, learners will be informed that dashcam recording may take place.
Appropriate notices will be displayed inside the vehicle where practicable. The notices should explain the purpose of recording and direct learners to the full privacy information.
Where appropriate, the school will also provide information to instructors and other individuals who may be affected by the recording.
5. Lawful basis
The school will identify and document the appropriate lawful basis for the relevant recording activity.
For example, legitimate interests may be considered for proportionate video recording used to investigate road incidents, protect safety or manage insurance claims.
Before relying on legitimate interests, the school will assess whether the purpose is legitimate, whether recording is necessary, and whether the interests and rights of affected individuals override the school's interests.
Consent will be used where it is the appropriate lawful basis. It will not be assumed that consent is always the correct basis for safety-related recording.
6. Access to recordings
Access will be limited to authorised people who need the footage for a legitimate business or legal purpose.
Recordings will not be routinely circulated among staff or learners.
Where a complaint, collision or claim occurs, relevant footage may be reviewed by the school and, where appropriate, disclosed to an insurer, legal adviser, law enforcement agency or other party with a lawful basis to receive it.
7. Sharing footage
Footage may be disclosed where necessary and lawful, including:
- To an insurer or claims handler investigating an incident.
- To the police or another competent authority where legally required or justified.
- To legal advisers involved in a relevant dispute.
- To an individual exercising a valid data protection right, subject to the rights of other people in the footage.
Requests will be reviewed individually. We may need to redact, blur or mute parts of a recording to protect other individuals.
We will not publish footage online or use it for promotional material without the necessary legal basis and permissions.
8. Retention and deletion
Routine footage will be automatically overwritten or deleted as soon as reasonably practicable, with a target maximum retention period of 30 days.
Where footage relates to a specific incident, complaint, accident or claim, a relevant copy may be secured and retained for as long as reasonably necessary to investigate or resolve the matter or meet legal obligations.
The reason for extended retention will be recorded and reviewed. Footage will be securely deleted when it is no longer needed.
9. Security
Recordings will be protected using appropriate security controls. Access credentials will not be shared unnecessarily, and footage will not be stored on unsecured devices or distributed through informal channels without an appropriate security assessment.
Any suspected loss, unauthorised access or disclosure will be assessed and managed under the school's data breach procedures.
10. Learner requests
Learners may contact the school to ask about recordings involving them or to exercise their data protection rights.
Requests should include the approximate date and time, relevant lesson details and the reason for the request.
The school will consider the request under applicable data protection law and respond within the relevant time limit. Disclosure may be limited where necessary to protect other people's rights or where a legal exemption applies.
11. Responsibilities
The school owner or designated privacy lead is responsible for:
- Ensuring the dashcam settings reflect this policy.
- Keeping the lawful basis and any legitimate interests assessment under review.
- Maintaining appropriate retention and deletion arrangements.
- Reviewing requests for access to footage.
- Ensuring that relevant notices and privacy information remain accurate.
- Reviewing the policy whenever the equipment or recording purposes change.
12. Review
This policy will be reviewed periodically and whenever there is a significant change in equipment, recording practices, business operations or applicable law.
